Microsoft Office Word 2007 AutoHistory

Jun 11
2009

One element that is missing in Microsoft’s Office Word 2007 program is the ability to manage document revisions. The software program comes with revision tracking features but those do not help that much once the document has been saved and closed in Word 2007. Enter AutoHistory; A Microsoft Office Word 2007 add-in that adds document revisions to Microsoft Word.

It does so by automatically creating a copy of the document whenever it is saved either by the user or by the software. The functionality becomes available immediately after installation of the Word add-in. Checking the Show / Hide History box will display a sidebar menu with all document revisions of the active document. A double-click on any of the documents will load it in a new Microsoft Word window.

A click on the Settings button opens the configuration menu where the maximum number of document revisions and the language can be configured. The default number of document revisions is unlimited but can be changed if size is of importance to the user.

AutoHistory (via Killertechtips) requires the installation of Microsoft Visual Studio Tools for the Microsoft Office system before it can be used and installed.

The Word add-in could come in handy for users who regularly work with Microsoft Word documents.

Save Multiple Attachments at Once in Outlook 2007

May 15
2009

You wish your co-workers and colleagues would send you several documents all zipped into one file, but so often it is not the case. Here we will look at saving multiple attachments to your hard dive all at once.

1

Once you receive and email with a bunch of individual attachments in Outlook 2007 click on Other Actions in the Actions section on the Ribbon and scroll down to Save Attachments.

1

This will open the Save All Attachments dialog box where you can choose them all or only certain ones by holding down the Shift or Ctrl keys to highlight them. When you have selected the ones you want just click OK.

1

This will open up Windows Explorer so you can choose the directory to save the attachments.

2

Now that we have covered that lets look at an even easier way. Highlight all of the attachments by using Shift + Left Click or Cttl + Left Click, now Right-Click and choose either Save As or Copy. This allows you to save the attachments to a specific directory or copy them using the Clip Board.

How to Send Large Files in Outlook with YouSendIt

Apr 27
2009

Have you ever needed to email large files but your IT dept limits attachments to 10MB or lower?  Today we will look at a plug-in for Outlook that will allow you to send attachments up to 100MB for free.

YouSendIt.com is a popular website for sending and receiving large files of up to 100MB for free.  They now have an easy to use add-on for Outlook 2003 and above.  After installation restart Outlook and you will notice the YouSendIt button with a drop down menu for signing in, configuring settings, and getting support.

button

To start using this plug-in you will need to log into your account or sign up for a new one.  The very cool thing is they allow a 14 day free trial for a pro, business, or corporate account.  This allows you to send up to 2GB files and various total usage amounts per month at different rates.  After the trial you are downgraded to YouSendIt Lite which should be adequate for individual use.

Another thing to check out right away is the configuration, where you can designate YouSendIt for files over a certain size.  You might want to contact your IT department for the attachment limit.

configuration

That is basically all there is to it unless you need to configure proxy settings.  Just compose a message and include that large attachment as you normally would.  You will have a confirmation message pop up and just click Yes and your file is sent.

You Send It

While the file is being uploaded to the YouSendIt servers there is a couple of things to take note.  There will be a progress bar and abort option where the plug-in button is at.  Also you will notice a YouSendIt Outbox.  The plug-in also includes support so you can contact the company with any problems, make sure to turn on logging to send diagnostic files for easier troubleshooting.

Conclusion

I have been using YouSendIt for several years now and have always been happy with the service.  This small plug in makes it more efficient to send large attachments without having to navigate to the website.  The free account allows up to 100MB files and for larger files there are different subscription plans.  I have only tested this on my home Outlook setup and work great (upload time seems equal to using the site). If anyone has used this with Exchange Server we definitely welcome your comments!

AES International Tip: Wordpress SEO: Advanced Nofollow

Apr 17
2009

wordpressWordpress is already well optimized when it comes to SEO (that’s Search Engine Optimization). There are some basic changes that are usually performed like changing the link structure to include the title of the articles or displaying the title of the article in the web browser’s title. Most users stop here, some go ahead and install SEO plugins which do some magic in the background.

Advanced tips are not that easy to come by and most websites running a Wordpress blog do not have them implemented. This article will list some options that center around the nofollow tag. Nofollow basically tells search engines like Google to not count the link vote that is usually being passed when linking on the Internet. Why is that beneficial? A website has a certain linking power. Each link that is pointing to internal and external resources gets a piece of that linking power. Not all pages should be treated equally however which is what this article is about. It makes for example no sense to pass linking power to internal pages that you do not want to link for, think of privacy policies, contact pages, login, log off or social bookmarking links.

Wordpress themes come with a surprising amount of links, the majority of which is not set to nofollow. Here are a few areas where you should consider placing the nofollow link tag in a Wordpress blog:

  • The more (read more) tag. The page is already linked from the title of the post properly.
  • Wordpress meta data
  • Pages like Privacy Policies, Contact Us
  • Social Bookmarking links

To add the nofollow link one would simply add the rel=”nofollow”
tag to the link structure which is not a problem if the link is displayed in the source code of the theme, for example:

<a href=”http://www.example.com/” rel=”nofollow”>Example Link</a>

There are however links (like the previously mentioned more tag) that cannot be manipulated in the theme source as the link is created by a php function.

Here is how you make the more tag in Wordpress nofollow:

  • Open the file post-template.php in the wp-includes folder.
  • Locate the following line beginning with:$output .= ‘ <a href=”’. get_permalink()..
  • Replace it with:$output .= ‘ <a href=”’. get_permalink() . “#more-$id\” class=\”more-link\” rel=\”nofollow\”>$more_link_text</a>”;
  • You basically add the rel=\”nofollow\” tag to the line

This ensures that all more tags will be nofollow from then on.
